Join Provenance as an Operations Assistant!

An exciting and rare opportunity to join a rapidly growing SaaS startup creating systemic change in the world. Provenance is enabling transparency on the social and environmental impact of consumer products, and we’re looking for an Operations Assistant to support our Operations and Exec team in the day-to-day running of the business.

We are scaling the business from hundreds of brand and retail customers - to thousands! This means Provenance will be helping millions of shoppers who want to shop in line with their values. Reporting into the Finance and Operations Manager, you will be involved in the day-to-day administration of the business across Finance, Ops and People, helping us drive efficiencies as we scale our team and customer base.

This is an ideal opportunity for someone interested in business administration and working with a fast-paced, stimulating and mission-driven team.

Salary Range: £24,000 - £28,000 salary range, depending on experience

Working Pattern: We are open to this role being full-time (5 days/week) or part-time (2-3 days)

What you'll be doing


  • Owning the company [email protected] inbox, triaging requests and ensuring any inbound enquiries are dealt with in an efficient and timely manner
  • Procurement and maintenance of IT, office equipment and business software, ensuring everyone has the equipment and software they need to work in an efficient manner
  • General administrative support of the CEO/Founder and MD, e.g.:
  • Meeting organisation, prep and research
  • Keeping track of new business contacts and ensuring they are recorded in the CRM
  • Occasional personal admin tasks and errands
  • General office support; keeping our space a great place to work, ensuring it’s always looking its best and in keeping with our values
  • Be the go-to person to manage operational team requests and queries
  • Help our busy team stay organised, managing calendars and team diaries
  • Working closely with the Finance and Operations Manager, MD and CFO to automate and scale processes across the organisation
  • Support with B Corp renewal process and improving Provenance’s impact as a company


  • Support on day-to-day finance administration, working with Xero and Stripe
  • Raising and processing invoices and expenses; ensuring payments are received and made on time
  • Ensure our financial records (invoices, contracts) are in order and securely stored
  • Booking travel and expenses management


  • Support our Head of Talent on general recruitment administration
  • Assist on the organisation of team events and away days alongside the Culture committee

What we're looking for

  • Experience with office administration (e.g. ordering equipment, responding to emails on behalf of the company, assisting the team with requests)
  • Some finance administration experience (e.g. raising invoices, processing expenses)
  • Passionate about working with a business with a strong social mission and looking for a positive purpose in the company they work for
  • Comfortable with multi-tasking, and working both independently and as part of a small team
  • A people person! Enjoys working with and supporting others
