We’re hiring an Operations Manager!

We are looking for an outstanding Operations Manager to support our COO in the day-to-day running of the business.

This role will vary from day to day and evolve and grow with the business, so it is important that you are comfortable with change and pragmatic with your approach.

Key Responsibilities of the role:


  • Assessing effectiveness of processes and tools, making recommendations for improvement, retirement and optimisation
  • Ensure naming conventions and categorisation provides ease of use and effective reporting insight across all platforms
  • Working closely with the leadership team to define efficient processes for end-to-end business operations
  • Ensuring all legal documents are in place and new ones are dealt with in an efficient and timely manner – both Company and Client specific
  • Own and govern key business policies, including expenses, timekeeping and holiday requests.
  • Working with the leadership team to ensure clear business KPIs are set and monitored
  • Taking responsibility for regular check-ins and team-wide communications on KPI results


  • Take a leading role in Office relocations; scoping, planning and executing
  • Accountability fo Health & Safety of all Provenance locations and activities
  • Ensure our environment operates in keeping with our values and cultural needs
  • Ensure all office equipment is well maintained, procured in a commercially savvy way, and meets the needs of the team at all levels.


  • Ownership of Resource and Timesheet Management – you will ideally have prior experience of managing multi-disciplined resources across a number of large and varied projects
  • Manage the on-boarding of new team members to the various software tools and platforms across the business
  • You will create and regularly update floor plans to ensure desk allocations are correct and plan and execute seamless desk moves
  • You will forecast and identify when additional resource is needed and source freelance talent to fulfil inflight project requirements. You will forecast and keep track of emerging talent requirements whereby a new permanent hire may need to be secured.


  • Be the go-to person for raising PO’s and issuing invoices, and then ensuring payments are received on time
  • Liaising with external accountants and working closely with COO/CFO on any day-to-day financial and legal requirements, for example payroll, pensions and companies house related queries
  • Ensure the team submit their expenses on time and report on trends that require policy attention.
  • Process monthly payroll and action payments. Liaise with our accountants as required.

Other things we are looking for:

  • Track record of improving processes and effectively coaching teams in best operational practice. Managing the performance of teams is a plus
  • Experience working on day-to-day operations activities at a tech start-up or independent digital agency
  • Excellent communication skills, both written and verbal
